The changing IT lifecycle: How to manage cost, risk and supply chain uncertainty

Having spent more than 30 years working with organisations on everything from complex technology refreshes to IT asset recycling, refurbishment and value recovery, I’ve seen first-hand how much the landscape has changed – and how much value can be lost when organisations only think about their technology at the point of purchase or replacement.

IT refreshes used to follow a relatively predictable cycle. Businesses bought new equipment, deployed it, ran it for several years and eventually replaced it.

Today, that model is becoming harder to maintain. Geopolitical uncertainty and ongoing supply-chain disruption are making it harder for organisations to get the equipment they need, with delays pushing some technology refresh projects beyond their original timelines.

At the same time, rising costs are putting greater pressure on IT budgets, encouraging businesses to extend the life of existing equipment or consider refurbished assets rather than buying new.

But technology itself isn’t slowing down. Manufacturers continue to introduce new generations of devices at pace, meaning some IT can become commercially or technically outdated in just two or three years.

For IT, procurement and business leaders, this creates a difficult balancing act: keep technology secure and fit for purpose, manage costs, maintain business continuity and respond to changing requirements – while dealing with equipment that no longer fits neatly into a traditional refresh cycle.

In this environment, IT Asset Disposal (ITAD) cannot simply happen at the end of a project. It needs to form part of a wider IT lifecycle strategy.

Is your ITAD strategy doing enough?

From my experience, the question is no longer simply ‘when should a device be replaced?’; it’s ‘what is the most valuable, secure and sustainable next step for that asset?’

Sometimes that will mean buying new or extending the life of existing equipment. In other cases, refurbished technology may provide a cost-effective alternative.

1) Make the most of every IT asset

Cost pressures are making the traditional ‘buy new, replace old’ model harder to justify. Refurbished equipment can help organisations meet technology requirements without the cost of purchasing everything new, while extending the life of existing equipment or deploying assets internally can delay unnecessary capital expenditure.

This makes understanding the value of existing IT assets increasingly important. Equipment that is no longer required by one part of an organisation may still have value elsewhere. Devices can be securely erased, refurbished and redeployed, or remarketed to generate a return.

When technology genuinely reaches the end of its useful life, recovering components and materials through responsible processing can help organisations maximise the value of their assets rather than simply treating them as waste.

There is also a clear sustainability benefit. Keeping equipment in use for longer through reuse and refurbishment can reduce demand for new resources and support wider circular economy objectives.

For procurement teams under pressure to demonstrate value, this approach can deliver both financial and environmental benefits.

2) Protect data, compliance and trust

Organisations remain responsible for the data that their IT assets contain long after them leaving their control. A device that has been kept in service for an extra two years, refurbished and redeployed, sold to another organisation or sent for recycling can all present data security and compliance risks if it isn’t processed correctly.

Customer records, employee data, financial information and commercially sensitive documents all need to be securely removed before equipment leaves an organisation’s control.

This becomes even more important when refreshes don’t follow a straightforward cycle. When assets are retained for longer, moved between locations, redeployed or passed through refurbishment and remarketing processes, organisations need confidence that every device is accounted for and the correct controls are in place.

ITAD shouldn’t compete with the priorities already facing IT and procurement teams. It should help them manage them.

The organisations that take a more strategic approach to their IT assets will be better placed to adapt when technology, budgets or supply chains change – while protecting their data, controlling costs and getting maximum value from the equipment they already own.

The question is no longer simply when an organisation should replace its technology. It’s whether it has a clear strategy for what happens to it at every stage of its lifecycle.
